Now that we’re past the halfway point of 2026, it’s the perfect time for Plan Administrators to reconnect with employees and confirm that their information is accurate and current in the system. A mid-year review can help prevent issues down the road and ensure employees update their benefits details after major life events such as a change of address, marriage, or common-law status.

1. Employee Salaries

Accurate salary information is essential. It can directly affect your monthly invoice and helps ensure employees receive the correct benefit amounts — especially for coverages such as Life Insurance and Long-Term Disability in the event of a claim.

2. Beneficiaries

Encourage employees to review their beneficiary designations and make any necessary updates. It’s also important to remind them to revisit this information throughout the year whenever a major life event occurs, such as the birth of a child, marriage, or divorce.

Verify provider information

Before submitting a claim, employees should confirm that their provider details are complete and accurate. Even small errors in a provider’s name, address, or registration information can slow down processing.

Keep receipts

Remind employees to save all original receipts and supporting documents. Having clear, organized records on hand can make the claims process faster and help avoid unnecessary follow-up.

Submit claims online

Online claim submission is often the quickest and most convenient option. It can help reduce paperwork, speed up processing times, and make it easier for employees to track the status of their claim. 

Check if pre-authorization is required

Some treatments, services, or medical equipment may need pre-authorization before a claim can be approved. Encouraging employees to check in advance can help prevent unexpected delays or denied claims.

Update dependent information

It’s important for employees to review and update dependent details regularly. Outdated information can create complications during the claims process, especially when coverage needs to be confirmed.
